Dubai's exhibition calendar is dense and it is concentrated — GITEX, Gulfood, Arab Health, the Dubai World Trade Centre programme and the Expo City venues put most of the year's shows into a handful of months. Stands need somewhere to be for the rest of it, and that is what this part of business storage in Dubai does.
Stands, displays, AV, furniture and collateral are stored between shows and delivered to the venue for build-up on the date you give us. Getting that date right is more of this job than the storage is.
The thing that separates a good exhibition booking from a bad one is entirely how it was packed at breakdown. A stand crated properly at 11pm on the last night is a stand that goes up cleanly next time.
Build-up timing is the whole risk
Venue build-up windows are fixed, short and unforgiving. A delivery that misses its slot at the World Trade Centre does not simply arrive later — it may not be able to get onto the floor at all, and your stand does not go up.
So give us the build-up date and the delivery window as early as you have them, not the week before. In the busy months the whole city's exhibition freight is moving at once and the roads around the venue are the constraint rather than the warehouse.
Venue paperwork is the second half of it. Most halls require vehicle passes, contractor registration and sometimes a specific delivery slot booked through the organiser. That is yours to obtain from the organiser, and it needs to exist before the vehicle leaves.
Plan the breakdown collection at the same time as the build-up delivery. Stands left on a floor after the tear-down window are a problem that escalates by the hour.
Packing a stand so it survives the year
All of this happens at breakdown, when nobody wants to do it. It is still the moment that decides everything.
- Crate rather than wrap. Panels, uprights and graphics survive a year crated and do not survive it stacked loose.
- Photograph the assembled stand before breakdown, and keep the photos with the crate list.
- Bag and label every fixing, pin and connector by section. Missing fittings are what stops a build the following year.
- Roll graphics rather than folding them. A folded crease in a printed panel is permanent.
- Keep the build instructions with the crates, not in someone's laptop.
- Separate consumables and collateral — brochures, giveaways — from structure. They date, and they should not be racked as though they will be used again.
- Note anything damaged at breakdown while you can still see it, so it is repaired before the next show rather than discovered at build-up.

Held between shows, an annual stand costs a small fraction of rebuilding it — which is the comparison worth making, because rebuilding is what happens when a stand is stored badly.
